Privacy Policy
This privacy policy applies to the AiReminderApp app for mobile devices, together with any related services operated by Công ty cổ phần dịch vụ phần mềm E-Soft (collectively, the "Application"). Công ty cổ phần dịch vụ phần mềm E-Soft is hereby referred to as the "Service Provider".
Information Collection and Use
The Application collects information when you download and use it. This information may include information such as
- Your device's Internet Protocol address
- The pages of the Application that you visit, the time and date of your visit, the time spent on those pages
- The time spent on the Application
- your mobile operating system you use
Cookies and tracking technologies
The Application or its third-party SDKs may use cookies, SDKs, pixels, and similar technologies to support functionality, analytics, or service delivery. Where required by applicable law, the Service Provider will obtain consent before using non-essential tracking technologies.
Your Rights
You may request access to, correction of, or deletion of your personal data held by the Service Provider. To exercise these rights, or to withdraw consent where processing is based on consent, contact the Service Provider at contact@e-software.vn.
Your California privacy rights (CCPA/CPRA)
If you are a California resident, you have the right to know what personal information is collected, the right to delete personal information, the right to opt out of the sale or sharing of personal information, and the right to non-discrimination for exercising these rights. To exercise your CCPA/CPRA rights, contact the Service Provider at contact@e-software.vn.
Artificial Intelligence and Third-Party Services
The Application's default voice assistant and reminder parser operate entirely on-device using native framework APIs and local rule-based parsing. User voice commands and reminders are processed locally and are NEVER transmitted to third-party AI services. Third-party generative AI services are utilized strictly for two optional, user-initiated features (Meeting Summarization via GroqCloud and Premium Voice Synthesis via ElevenLabs), both of which require explicit in-app user consent before any data transmission occurs.
Before transmitting user content to a third-party speech recognition or AI service, the Application clearly discloses what data will be shared, identifies the recipient and purpose of the processing, and obtains the user's explicit consent where required. User content is transmitted only after the required consent has been obtained.
1. Voice Input and Speech Recognition
iOS:
The Application uses Apple's Speech framework to convert spoken commands into text. When server-based recognition is used through SFSpeechRecognizer, audio may be transmitted to Apple servers for processing. On-device recognition is available only when supported by the device, language, and active configuration.

Android:
The Application uses Android's speech recognition APIs to convert spoken commands into text. Depending on the speech recognition service configured on the device and its settings, audio may be transmitted to the relevant service provider for processing.

2. Meeting Recordings, Transcription and Summarization
Meeting recordings are initially stored locally on the user's device. When the user requests an AI-generated summary, audio or transcript data is processed as follows:
iOS:
- The meeting recording is initially stored locally on the device. When transcription is requested, the Application uses Apple's Speech Recognition framework without explicitly requiring on-device-only recognition. Therefore, meeting audio may be transmitted to Apple servers for speech recognition, subject to the required system authorization.
- The resulting transcript text is transmitted through the Service Provider's backend to GroqCloud for AI summarization using the openai/gpt-oss-20b model.
- The raw meeting audio is not sent directly to GroqCloud. However, it may be transmitted to Apple for speech recognition, as described above.
Android:
- The meeting recording is initially stored on the device. When the user requests a summary, the audio is transmitted through the Service Provider's backend to GroqCloud.
- GroqCloud uses whisper-large-v3-turbo to convert audio into text, and openai/gpt-oss-20b to generate the meeting summary.
Purpose: To transcribe meeting content, produce summaries, identify key points, and extract action items.
3. ElevenLabs — Online Text-to-Speech
When the user enables the online high-quality voice feature in Settings, text content submitted for speech generation is transmitted through the Service Provider's backend to ElevenLabs, Inc. for voice synthesis. The generated audio stream is returned to the Application for playback.
Data shared: Text submitted for speech synthesis (such as assistant greetings, reminder notifications, or response messages).
Data Handling and Retention: Text submitted for speech generation and the resulting audio are processed in accordance with the applicable ElevenLabs terms, privacy policy, and account settings. Depending on the applicable plan and settings, request data may be retained in ElevenLabs' service history. The use of submitted data to improve AI models depends on the applicable terms and Data Use settings. The Service Provider does not claim zero data retention unless the relevant configuration and terms support that claim.

4. GroqCloud — AI Summarization and Transcription
The Service Provider uses GroqCloud to process meeting transcription and summarization.
- iOS data shared: Meeting transcript text transmitted through the Service Provider's backend.
- Android data shared: Meeting audio transmitted through the Service Provider's backend for transcription, followed by transcript text for summarization.
- Data handling & Retention: Groq states that customer inference data is not used to train AI models. In limited circumstances involving system reliability, operational debugging, or abuse monitoring, inputs and outputs may be temporarily logged for up to 30 days before automatic deletion.

5. Third-Party Data Protection
The Service Provider confirms that third-party service providers receiving user data for the features described in this Privacy Policy will provide the same or equivalent protection of user data as described in this Privacy Policy and required by the applicable App Store Review Guidelines.
The Service Provider reviews applicable privacy commitments, service terms, and data protection safeguards, and limits the data shared with each provider to what is necessary to deliver the requested feature.
6. Data Security and User Rights
All communications between the Application, the Service Provider's backend, and external providers are encrypted in transit using industry-standard HTTPS / TLS.
The Application stores meeting recordings and any transcripts or summaries saved locally by the user on the device, where supported by the Application's functionality. To generate summaries, copies of audio or transcript data may be transmitted to the Service Provider's backend and third-party providers as described in this policy.
Deleting data stored locally in the Application does not necessarily delete copies already transmitted to third-party providers. Such copies are handled according to the applicable provider retention and deletion policies.
Users may delete locally stored data through the Application, where the relevant deletion feature is available. To request access to, correction of, or deletion of account data held by the Service Provider, users may contact contact@e-software.vn .
The Service Provider may use the information you provide to send important information, required notices, and, where permitted by law, marketing communications.
For a better experience while using the Application, the Service Provider may require you to provide certain personally identifiable information, including but not limited to Email. The information the Service Provider requests will be retained and used as described in this privacy policy.
Third Party Access
Except as expressly described in the "Artificial Intelligence and Third-Party Services" section below (where user content is processed by designated providers solely to deliver features you request), the Service Provider does not sell, rent, or share personal user data with external third parties.
Only aggregated, anonymized diagnostic and technical data (such as crash logs or general performance metrics) may periodically be transmitted to external services to help us improve the Application and troubleshoot issues.
International Data Transfers
The Service Provider or its third-party service providers may transfer personal data to countries outside your country of residence, including outside the European Economic Area (EEA). Where applicable law requires safeguards for international transfers, the Service Provider will use appropriate mechanisms.
- Standard Contractual Clauses (SCCs) approved by the European Commission
- Adequacy decisions or other legally recognized transfer mechanisms
- Your consent, where required and legally permitted
Data protection laws in other countries may differ from those in your jurisdiction. Where required by law, the Service Provider will apply appropriate safeguards and obtain any consent required for the transfer.
The Service Provider may disclose User Provided and Automatically Collected Information:
- as required by law, such as to comply with a subpoena, or similar legal process;
- when they believe in good faith that disclosure is necessary to protect their rights, protect your safety or the safety of others, investigate fraud, or respond to a government request;
- with their trusted services providers who work on their behalf, do not have an independent use of the information the Service Provider discloses to them, and have agreed to adhere to the rules set forth in this privacy statement.
Opt-Out Rights
You can stop further collection of information from your mobile device by uninstalling the Application. Uninstalling will stop the Application from collecting data from your device, but it does not automatically delete information that has already been transmitted to the Service Provider or to third parties.
To request deletion of your personal data, to withdraw consent, or to exercise any of your rights, contact the Service Provider at contact@e-software.vn.
Data Retention Policy
The Service Provider retains personal data based on its necessity for the stated purposes:
- User Provided Data: Retained for the duration of your use of the Application plus 12 months thereafter, unless longer retention is required by law
- Automatically Collected Data: Retained for up to 24 months from collection, unless longer retention is required for legal compliance
- Aggregated and Anonymized Data: Retained indefinitely as it no longer identifies you
- Data required for legal compliance: Retained as long as required by applicable law
You may request deletion of your personal data, subject to any legal obligation to retain it. If you want the Service Provider to delete User Provided Data submitted through the Application, please contact them at contact@e-software.vn. Please note that some User Provided Data may be required for the Application to function properly.
Children
The Application is not intended for children under 20 years of age, or such higher age as required by applicable law. The Service Provider does not knowingly solicit data from children or market the Application to them.
The Service Provider does not knowingly collect personally identifiable information from children. The Service Provider encourages all children to never submit any personally identifiable information through the Application and/or Services. The Service Provider encourages parents and legal guardians to monitor their children's Internet usage and to help enforce this Policy by instructing their children never to provide personally identifiable information through the Application and/or Services without their permission. If you have reason to believe that a child has provided personally identifiable information to the Service Provider through the Application and/or Services, please contact the Service Provider (contact@e-software.vn) so that they will be able to take the necessary actions. If you are under 20 years of age, your parent or guardian must provide consent on your behalf where permitted by law.
Security
The Service Provider is concerned about safeguarding the confidentiality of your information. The Service Provider provides physical, electronic, and procedural safeguards to protect information the Service Provider processes and maintains.
Data Breach Notification
If a data breach occurs that affects your personal data, the Service Provider will notify you in accordance with applicable legal requirements, including, where required, providing information about the nature of the breach and the steps being taken to address it.
Changes
The Service Provider may update this Privacy Policy from time to time. The Service Provider will notify you of material changes by posting the updated Privacy Policy with an effective date. Where required by law, the Service Provider will seek your consent to material changes before they take effect.
Previous versions of this Privacy Policy will be maintained and made available upon request by contacting the Service Provider at contact@e-software.vn.

Your Consent
Where processing is based on consent, you provide that consent by affirmatively opting in to the relevant feature or action. You may withdraw consent at any time without affecting processing carried out before withdrawal. Processing based on other lawful bases is carried out as described above.
